Daily Reports and Timeline. Complete guide

Mark check-in, check-out and absences, approve absences, fill in the daily report (meals, sleep, potty) and follow attendance in reports.

Written by Marcel Bragari

The Daily Reports and Timeline module (with the Attendance management page) is where school staff mark children's arrival (check-in) and departure (check-out), absences and their approval. Here teachers also fill in the daily report: how much the child ate, how long they slept, potty and temperature. Parents see this information in their app.

Note! Attendance is not marked automatically and can't be marked by parents or students. School staff fill it in. The only exception is check-in with a QR code, if your school uses it (section 10).

Which moments appear in a class's daily report (meals, sleep, potty, temperature, check-in and check-out time) is set in the class settings (Timeline settings).

Tap the menu button at the top left (☰) and choose Daily Timeline. Choose the class in the coloured bar at the top. How do I check children in or out, or mark them absent?

Tap Check-In. Select the children, one by one or with Select all, and tap Check-In or Absent. Under the child's name you see who checked them in, and the time on the right.

If you select children who are already checked in, the buttons become Check-Out and Clear. With Clear you cancel the check-in.

Check-In in the app

Note! If you clear the check-in, all the child's data for that day is erased: meals, nap, potty and the other records. The app asks you to confirm first.

Check-out can also be done from the Check-Out moment in Daily Timeline: select the children who leave and tap Check-Out.

How do I record how much the children ate?

Tap the meal, for example Breakfast. Only checked-in children appear in the list. Select the children (or Select all): each gets a bar, at 100% by default. Drag the bar to show how much the child ate, and tap Save.

In the Check-In list, absent children show Unapproved absence. Tap the absence icon next to the child, turn on Approved absence, choose the Reason and, optionally, write an observation, which the parent can see. Tap Save.

9. How is attendance marked automatically for timetable activities?

Activity Calendar › Configuration › Activity Calendar

If you turn on Activity attendance based on check-in, students checked in are marked present automatically when an activity of that day is opened, and those marked absent are marked absent. Teachers no longer have to take attendance at each lesson. Attendance and absences are also synced to the Gradebook.

Activity attendance based on check-in

Attendance, absence and lateness for a single activity are marked from the timetable. See the Activity Calendar guide.

10. How do I use check-in with a QR code?

My Account › School Management › Edit › QRcode PDF

With a QR code displayed at the entrance, parents can check their children in and out themselves from the app. To download the code, open My Account (from the menu at the top right), click Edit next to the school and then QRcode PDF. A PDF downloads, which you can print.

QRcode PDF

The parent opens the Kinderpedia app menu, chooses Check-In/Check-Out and scans the code with the phone's camera, then confirms check-in for the child. If they have several children in the same school, they swipe the child's photo to move to the next one.

Tip: QR code check-in must be enabled by the school, in Kinderpedia Modules.

11. How do I see the attendance report?

Daily Reports and Timeline › Reports

Choose the period, the group and the Report Type (for example Attendance Report), then click Filter. At the top you see the total attendance and absences (approved and unapproved), and below, the table by day for each student. Use Print to print the report.
