The Student Groups module is where you organise your school into classes and groups. Here you set up the school years, create the groups, enrol the students and assign the teachers. At the end of the year you also promote or graduate the classes here and find the history of the graduated classes.
We recommend following the steps in order: first the school year, then the groups and their settings, then the students and teachers. Graduating the classes comes at the end of the year.
Contents
1. How do I open Student Groups?
Student Groups
In the left menu, click Student Groups. At the top of the module you find three tabs:
Active Groups: the groups of the school year you choose.
Graduated groups: the classes that have graduated from school.
Configuration of school intervals: the school years and their intervals.
2. How do I set up the school year?
Student Groups › Configuration of school intervals
The school year and its intervals make sure information is shown correctly in the gradebook and in the attendance reports. Set them up before anything else. Click the Configuration of school intervals tab.
Click Add school year. The years already added appear in the list, and you can change them at any time with Edit.
In the window that opens, fill in:
School year (for example, 2026-2027);
School interval name (for example, 2026-2027), Start date and End date.
To add more intervals (terms, modules), click Add school interval. Finally, click Save.
Note! Even if your school year is split into several modules, add a single school interval. Otherwise the system calculates a separate estimated average for each module.
Tip: after setting the first and last day of the school year, also go to Center Management › School year structure to add the holidays and days off.
3. How do I create a group or class?
Student Groups › Active Groups › Add Group
Click the green Add Group button at the top right.
Fill in Group name, choose the Group Type, a colour and the Study level, then click Save.
There are two group types:
Main: the student's permanent class for the school year (for example, Grade 1 or Senior Kindergarten). A student belongs to only one main group at a time.
Optional: can include students from different classes or levels (for example, French, Chess or Robotics club). A student can be in several optional groups or in none.
Note! In optional groups, attendance is taken only for the activities in the timetable. Check-in attendance is taken only in main groups.
4. How do I change a group's settings?
Student Groups › group › Settings
Click the group's name, then the Settings button at the top right.
In General Info you can change the group's name and, optionally, fill in:
Study level;
Age range: the minimum and maximum age, in months;
Max. number of children;
Ratio: the number of teachers per number of children (for example, 1:5 = 1 teacher to 5 children);
Color: the colour that sets the group apart from the others.
Don't forget to click Save at the bottom of the page.
The details you set appear at the top of the group's page: the creation date, the age range, the ratio and the maximum number of children.
5. How do I set a monthly price for an optional group?
Student Groups › optional group › Settings › Price for optional class
Optional groups have an extra setting in Settings: Price for optional class. Turn it on to charge a monthly price for the optional group through the billing plan (Linked Modules). The price is prorated to the invoicing period (weekly, monthly, half-yearly etc.).
Fill in the Monthly price and the Currency, then choose the Product Category, the Billing company and the VAT Category. Click Save.
The price then appears on the group's page, under Price for optional class, and in the Group Type column of the group list.
6. How do I make a group available in Gradebook and Timetable?
Student Groups › Active Groups
For a group to be used for attendance, lessons and grades, it must be turned on in Gradebook and Timetable for each school year. There are two ways.
From the group list: choose the school year in Select School Interval, then turn on the switch in the Available in Gradebook/Timetable column.
From the group's page: open the group, check that the right school year is selected, then turn on the switch under Available in Gradebook/Timetable.
Note! The switch is set separately for each school year. If you haven't set up the school year (section 2), it doesn't appear in the list.
7. How do I link optional groups to a main group?
Student Groups › main group › manage optional classes
Linking makes the optional groups appear in the gradebook of the main class. Open the main group. The manage optional classes button appears under Available in Gradebook/Timetable once the class is turned on for that school year (section 6). Click it.
In Select which secondary classes are linked with the primary class, choose one or more optional groups from the list. The list shows all the optional groups.
Click link selected classes to save the link.
8. Where do I set the group's daily timeline?
Daily Reports and Timeline › Attendance management › Timeline Settings
Timeline Settings decide which moments appear in the group's daily programme: check-in, meals, snacks, nap, check-out and others. They are no longer in the group's settings: open Daily Reports and Timeline › Attendance management and click Timeline Settings at the top right.
In the window that opens, choose the group in Class and turn on the moments you want. Start with Check-In: while it is off, attendance and the daily report are not taken for that group, and the other options don't appear. After you turn an option on, set its time in the field on the right.
The options are: Check-In, Baby Food, Breakfast, Morning Snack, Potty, Lunch, Nap, Snack, Dinner, Check-Out, Temperature and Teachers record meal data in percentage. Finally, click Save.
In the Kinderpedia Teacher app: open Daily Timeline from the main menu (☰), choose the class in the coloured bar at the top, then tap the three dots (⋮) at the top right and choose Timeline Settings. Turn the moments on or off with the switch on the right of each row. Active moments are shown in colour, inactive ones in grey.
9. How do I add a student to a main group?
Student Groups › main group › Add Child
All the groups appear in the Active Groups list. Click the name of the main group, then click Add Child.
The window asks whether the parent already has a Kinderpedia account:
NO, i will add data manually: check the Group, fill in First Name, Last Name, Gender and Date of birth, then click Add.
Yes, i have a transfer code: add the student with the transfer code received from the parent.
The student appears in the group's student list.
10. How do I move students to another group?
Student Groups › main group
One student, from their profile: click the student's name. Their profile opens in Families Management. Tick the box under Move to another group or class and choose the new group from the list. If your school has several locations, Move to another location moves the student to a class in another location (you must pick a class, not only the location).
Several students at once: on the group's page, click Select. Tick the students (or tick the box in the table header to select them all), choose the school and the group in Move to another group or class, then click Transfer. Clear removes the selection.
From the new group: open the group the students are moving to and click Move Here. In the window, find the students by group (All Groups) or by name (search) and select them. The students already in the group are ticked.
How do I change the enrollment date in the new group?
When you move a student, Kinderpedia records the day of the move as the enrollment date in the new group. If the student actually moved earlier but the change was only made in Kinderpedia now, change the date: in the student's profile, under Classes, click the pencil next to the date of their current group.
In the Edit window, choose under Date the day the student actually joined the group and click Save.
Note! If a student is transferred to another class or another school during the school year, they appear as transferred in the old class (turn on show transferred children to see them). In the new class, you can't add grades or absences dated before the transfer (the group enrollment date). So if you need to record grades or absences from before the move, first change the group enrollment date.
11. How do I add students to an optional group?
Student Groups › optional group › Add child
To see only the optional groups, choose Optional in Group Type. Click the name of the optional group.
Click the green Add child button at the top right.
In optional groups you can add only students who already have an account. Find them by group (All Groups) or by name (search) and select them, or use Select All. The students already in the group are ticked.
12. How do I assign or remove a teacher?
Student Groups › group › Assign a teacher
On the group's page, click Assign a teacher in the Teachers section.
The Available teachers list opens. Click assign next to the teacher. If the teacher doesn't have an account yet, use Add new teacher.
To remove a teacher from the group, click the ⇄ icon (transfer) next to their name.
13. How do I set the main teacher?
Student Groups › group › Teachers
Click the star next to the teacher's name. The main teacher has an orange star next to their name, so you can easily see who is in charge of the group. To remove the role, click the star again.
Note! The main teacher has extended rights over the grades and absences of the students in their class. Depending on the permissions set in Gradebook › Global Settings, they can give conduct grades, excuse absences and edit grades and absences in all the subjects of the class. Class management is available only to main teachers who have the "Class Management" function turned on.
14. How do I see transferred students and previous years?
Student Groups › group
By default, the group's page shows the students currently enrolled. Turn on show transferred children to also see the students moved out of the group in that school year.
For a previous school year, choose the year in the list next to Students.
The page shows the group as it was that year: its name at the time, the students and the teachers.
15. How do I see a group's graduation history?
Student Groups › group › Graduation history
Click Graduation history at the top right.
You see the group year by year: the name, the school interval, the study level and the start date. If something is wrong, correct it with Edit.
16. How do I promote a class to the next year?
Student Groups › group › Graduate › Graduate Class
At the end of the year, open the group and click the red Graduate button.
Under Graduate Class, check the Group name and the Study level for next year and change them if needed. Then click Graduate Class. The students move to the next class, and the group keeps its full history.
17. How do I graduate a class from school?
Student Groups › group › Graduate › Graduate from school
When the students finish their last year at your school, click Graduate, then Graduate from school. The class is deactivated and archived (it is not deleted), and the accounts of its students are archived.
Note! Keep the graduated students' accounts archived and don't delete them, so you can still extract past reports (attendance, grades, gradebook).
A graduated class is marked Inactive group. If needed, you can reactivate it at any time with Reactivate Group. You can still see the class as it was in previous years, from the list of school years.
18. Where do I find the graduated classes?
Student Groups › Graduated groups
Open the Graduated groups tab. The year the class was deactivated is added automatically next to its name. Click Management to open the class.
19. How do I delete a group or class?
Student Groups › group › Graduate › Delete Group/Class
Note! Deleting removes the group and all its information for good. Delete only groups created for testing. For a group that has been used, graduate it instead (sections 16–17).
Before deleting, the group must be empty:
main group: archive the students' accounts and remove all the teachers from the group (section 12);
optional group: remove all the students from the group.
Groups can be deleted only from the web version of Kinderpedia (computer browser). Open the group, click Graduate and, in the red Delete Group/Class area, click Delete.
