The Gradebook module brings together the grades, badges, absences, exemptions and averages of all students. From here you also generate the gradebook PDF, the student transcript (foaia matricolă) and class reports.
We recommend following the steps in order: first the configuration (school year, classes, disciplines and global settings), then grades and absences, and finally averages and documents.
Tip: the disciplines in the gradebook come from the Activity Calendar module. Grades and absences can only be added on days when the discipline is scheduled in the timetable. See the Activity Calendar guide.
Contents
1. How do I open the Gradebook module?
In the left menu, click Gradebook. At the top of the module you find these tabs:
Grades and Absences: add and change grades, absences, exemptions and averages;
Average per Group: the final average and absences of every student in a class, with export;
Ranking and Statistics: the ranking of classes or students by average and by absences;
Reports: the number of grades or attendance records, split by classes, disciplines, months, teachers or students;
Locked years: locking and archiving the school year for each class;
Downloads: the gradebook PDF per class and the transcript per student.
2. How do I set up the school year?
Gradebook › Configuration › Configuration of school intervals
Open Gradebook and click the Configuration button at the top right.
The Configuration of school intervals tab shows the school years defined. For a new year, click the green Add school year button. To change or delete an existing year, click Edit next to it.
In the window that opens, fill in the School year (for example 2026-2027), the School interval name, the Start date and the End date. Don't forget to click Save.
Note! The gradebook only shows grades and absences inside the school interval. A grade added in the timetable for a date outside the interval doesn't appear in the gradebook.
Note! Define the whole school year as a single school interval. Don't create separate intervals for each module or semester: the gradebook treats them as different intervals, calculates a final average per discipline for each one, and the students' final average will be wrong.
3. How do I choose which classes appear in the gradebook?
Student Groups › Active Groups
Open Student Groups in the left menu and choose the school year. Turn on the switch in the Available in Gradebook / Activity Calendar column for each class that must appear in the gradebook.
4. How do I choose the disciplines used in the school year?
Gradebook › Configuration › Disciplines › Subjects Config
In Configuration, open the Disciplines tab and click Subjects Config.
On the left you see all the activities in the Activity Calendar, and on the right the disciplines used in the selected school year. To add a discipline, click it in the list on the left and it moves to the right. To remove it, click the bin on its row on the right. Finally, click Save.
Note! If the discipline is assigned to classes, first remove it from those classes, and only then from the school year.
Tip: the first discipline in the list is Conduct. It was created for the Conduct section of the gradebook PDF, so we recommend adding it and assigning it to all classes. You don't need to create another discipline with the same name in the timetable.
5. How do I assign a discipline to classes?
Gradebook › Configuration › Disciplines
In the list of disciplines, the Available in groups column shows the classes each discipline appears in. Click the pencil on the discipline's row.
The Assign classes to subjects window opens. Click the classes on the left to move them to the right, or the bin on the right to remove them. Don't forget to click Save.
Alternatively, choose a class in the filter at the top and click Apply. Use the switch in the Show in gradebook column to turn each discipline on or off for that class.
6. What does “Synced” mean and how do I sync disciplines from the timetable?
Gradebook › Configuration › Disciplines (filtered on a class)
Disciplines with the Synced label were added automatically, because they are scheduled for that class in the Activity Calendar.
Once you filter the list on a class, the Sync disciplines from Activity Calendar button appears at the top right. Use it to bring into the gradebook the disciplines recently scheduled in the class's timetable.
7. How do I change the order of disciplines in the gradebook?
Gradebook › Configuration › Disciplines (filtered on a class)
Filter the list on the class you want and click Apply. Drag the dots on the left of the row (see the image above) and move the discipline to the position you want. The order is kept in the gradebook and in the gradebook PDF.
8. Who can add grades, absences and approvals?
Gradebook › Configuration › Global Settings
By default, with no settings: the teacher responsible for a discipline is the only one who adds, changes and deletes grades, attendance and absences for their discipline, and also concludes the average for it. The main teacher (class teacher) sees the grades and absences of all the class's disciplines, adds the Conduct grades and concludes each student's final average. If other users also need to change grades and absences, the account owner gives them access in the settings below.
In the Global Settings tab, under Gradebook access management, choose with the switches:
whether the App Manager can add, edit and delete grades, averages, exemptions and attendance, and approve absences, for all subjects;
whether main teachers can do the same for their classes;
whether assigned teachers can approve absences for their own subjects.
Below, you can choose staff members who are not teachers (for example the secretary's office) who can manage attendance and exemptions or approve absences.
Teachers assigned to a discipline can still manage grades and attendance for their own subject. Don't forget to click Save at the bottom of the page.
9. How do I set decimals and the period in which grades can be changed?
Gradebook › Configuration › Global Settings
Under Decimal Settings, choose how many decimals the final average and the subject averages have.
Under Grade and absence editing restrictions, choose how long a teacher can change a grade (Grade editing window), change or delete an absence (Absence editing window) and approve an absence (Absence approval window). Once the period expires, only the account owner or the school manager can make changes.
Note! New decimal settings only apply after you click Recalculate averages in the Gradebook. Estimated averages are updated, but averages already concluded stay unchanged.
10. How do I show or hide estimated averages?
Gradebook › Configuration › Global Settings
Scroll down to Estimated averages rules. Use the Show estimated averages in teacher app and Show estimated averages in parent app switches, then click Save. App Managers can always see estimated averages.
Here, under School year locks, you also set who can lock and unlock the school year and who approves the requests. More details in section 29.
11. How do I see who changed the gradebook settings?
Gradebook › Configuration › Global Settings
Click the icon at the top right of the page. The Audit log opens, with each setting changed, the author and the date.
12. How do I take attendance for the whole class?
Gradebook › Grades and Absences
Select the school year, class and discipline in the filters at the top and click Apply.
Click the green Class attendance button. The red Class grading button is for grades (see the next section).
In the calendar on the left, choose the day (the current day is selected by default) and, if the discipline has several lessons that day, the lesson. On the right, select the students (or Select all) and click Present, Late attendance or Absent.
Note! In the calendar you can only select days on which the discipline is scheduled in the Activity Calendar. Students with an exemption appear faded and can't be selected.
13. How do I add grades or badges for the whole class?
Gradebook › Grades and Absences
Once you have filtered the class and discipline, click the red Class grading button. Choose the day in the calendar, select the students on the right, then choose the grade or badge. Optionally, add an observation in the Description field. Don't forget to click Save.
Note! Students marked absent in that lesson or with an exemption appear faded and can't be graded.
14. How do I add a grade or an absence for a single student?
Gradebook › Grades and Absences
Click the round + button on the student's row: the one in the Grades / Ratings column for a grade, or the one in the Absences column for an absence. The same windows as for the class open, with the student already selected.
15. How do I change or delete a grade?
Gradebook › Grades and Absences
Hover over a grade to see the evaluation type, who added it and when.
Click the grade. In the window that opens, choose another grade and click Save, or click the bin to delete it and confirm. The observation is deleted together with the grade.
16. How do I approve or delete an absence?
Gradebook › Grades and Absences
Click the student's absence. The Approve Absence window opens:
Multiple days: choose Yes to approve the absences in a date range. Then choose This discipline or All discipline, and the Date range;
Approved absence: choose Yes;
Reason: for example Sick;
Observation and Attachments: optionally, attach the medical note.
Don't forget to click Save. To delete the absence, click the delete button and confirm.
Tip: approving over several days doesn't create new absences, it only updates the existing ones. Approved absences appear circled in green. Teachers can also approve absences in the Teacher app, from Daily Timeline (see the Activity Calendar guide).
17. How do I add or delete an exemption?
Gradebook › Grades and Absences
Filter the class and discipline. Click the three dots on the student's row, in the Average Estimated / Concluded column, and choose Add exemption.
Under Type, choose Medical exemption, Religious exemption, Special exemption or Temporary Exemption.
For a Temporary Exemption, also choose the Date range it applies to. You can add a description and attach documents. Don't forget to click Save. Temporary exemptions appear in the Temporary Exemptions column.
To delete an exemption, click the exemption icon on the student's row, then delete it and confirm.
Note! While the student has an exemption for a discipline, you can't add grades or absences for that discipline. Delete the exemption if you need to; you can add it again later.
18. How do I conclude the average for a discipline?
Gradebook › Grades and Absences
Filter the class and discipline. In the Average Estimated / Concluded column, estimated averages appear on an orange background and are calculated automatically from the student's grades. Click the estimated average.
In the Conclude Final average window you see the student's grades. Change the Final grade with − / + if needed and click Save.
A concluded average appears on a white background. To change it, click it and then Delete. After changing the grades, conclude the average again.
Tip: a concluded average can be deleted by the discipline's teacher or by the class's main teacher. If the student has no grades, the three-dot menu shows an option to add the average directly.
19. How do I recalculate averages?
Gradebook › Grades and Absences
If you added or deleted grades and the estimated averages are not correct, click Recalculate averages at the top right. Recalculation may take a few minutes.
Note! Only the class's main teacher and account administrators have access to this action.
20. How do I mark a student as not concluded?
Gradebook › Grades and Absences
Click the three dots on the student's row and choose Mark as Not Concluded (see the image in section 17). The average is replaced straight away with the Not concluded label, and the student's grades appear faded.
From the same menu you can choose Remove Not Concluded or Add qualifying exam.
Note! The mark is applied immediately, without a confirmation window.
21. How do I see a student's situation and conclude the final average?
Gradebook › Grades and Absences
Filter the class and click the student's name. The student's page opens, with the final average, the distribution of averages, the total absences (and how many are approved) and all their disciplines.
Edit final average: conclude or change the final average;
Download student report: download the student's situation.
Further down, in the list of disciplines, concluded averages appear on a white background and estimated ones on an orange background.
22. How do I add conduct grades and conclude the conduct average?
Gradebook › Grades and Absences
Filter the class and click the student's name. The Conduct discipline is the last in the list. Add grades or absences with the + buttons, as for the other disciplines.
To conclude the conduct average, click the estimated average (or +), check the final grade and click Save.
Note! Conduct grades can only be entered by the class's main teacher. The recommended conduct grade also takes into account the student's unapproved absences in the current school year.
23. How do I add the grades of a student transferred from another school?
The grades of a transferred student are added manually in the gradebook, like any other grade.
Note! If the grades are from before the date the student was enrolled, first change the child's registration date in the institution. If the student has grades in disciplines that don't exist in the new class's timetable, first add the discipline in the timetable, on those days.
24. How do I export the final averages and absences of a class?
Gradebook › Average per Group
Open the Average per Group tab, choose the school year, the class and All disciplines (or one discipline) and click Apply. The table shows the final average, all absences, approved absences and unapproved absences. Click Export.
In the export window, set the title, sorting and columns, then click Download PDF, Download XLS or Download CSV.
25. How do I see the ranking by averages and absences?
Gradebook › Ranking and Statistics
Open the Ranking and Statistics tab, choose the school year, the study level, the class and the discipline. Choose Classes for a ranking of classes or Students for a ranking of students, then click Apply.
Below you find Ranking based on average and Ranking based on absences, each with an Export button.
26. How do I generate a report with the number of grades or attendance records?
Gradebook › Reports
Open the Reports tab and choose Grades or Attendances, the school year and the date range. With Columns you split the results by Subject or by Months. Click Apply, then Export to download.
With + Rows you choose what appears on rows: Subject, Months, Classes, Teachers or Students. For Attendances you see the attendance, late attendance, approved and unapproved absences and total absences.
27. How do I generate and download the gradebook PDF?
Gradebook › Downloads
Open the Downloads tab. For each class you see the Generate Gradebook (PDF) button or, if it has already been generated, Download Gradebook (PDF), together with the name of the person who generated it and the date.
From the three-dot menu next to the button, choose Regenerate gradebook or Gradebook settings.
In Gradebook settings, fill in the details that appear on the gradebook: the educational unit, the principal, the secretary, the class teacher, the city and the county. Don't forget to click Save.
Note! If you change grades, averages or other details after generating the gradebook, use Regenerate gradebook so the PDF includes the new data.
28. How do I download a student's transcript?
Gradebook › Downloads › Students
In the Downloads tab, choose the school year and the class, then Students, and click Apply. For each student, click Download Foaie matricola and choose the cycle you need (for example I-IV, V-VIII or IX-XII).
29. How do I lock and archive a class's school year?
Gradebook › Locked years
At the end of the year, open the Locked years tab, choose the school year and click Lock and archive next to the class. The columns show the state (Open or locked), who locked it, who approved it and the archived gradebook PDF.
Note! Locking archives the class's official gradebook PDF. Once locked, grades and absences can no longer be changed and no new gradebook PDF is generated.
Who can lock or unlock the year and how many approvals are needed is set in Configuration › Global Settings › School year locks (see section 10). If no approver is ticked, a request applies immediately.
30. How do I use the Gradebook in the Kinderpedia Teacher app?

Adding attendance and grades
Open the ☰ menu and tap Gradebook. Choose the class.
Tap the green + button at the bottom of the screen. The Add evaluation page opens: choose the discipline.
Tick the students and mark them Present, Late check-in or Absent with the buttons at the bottom. Only present students can be graded: select them and add the evaluation, with an optional observation, then save.
A student's situation
In the class list, tap a student. You see each discipline with the number of grades and absences, the estimated average and any exemptions. Tap a discipline to see its teachers and grades, add an exemption (+ Add Exemption) or mark the student as not concluded (Mark as not concluded).
Concluding an average
The estimated average appears on an orange background. Tap it: the Set Final Average window shows the grades and the final grade. Change it with − / + if needed and tap Save.
Note! While the student has an exemption for a discipline, you can't add evaluations or absences for that discipline.
Conduct
Scroll down to Conduct. Tap the average box to conclude it, or open the discipline to add a conduct grade.
