The Career Development module keeps track of the professional development of teaching staff: the professional portfolio, completed trainings and the credits earned, mandatory certifications (first aid, hygiene, clearances), the annual appraisal, lesson observations and the development plan. Management gets a school-wide overview and can generate reports and the inspection dossier.
If you are an administrator, start with the Setup Guide and the roles (sections 2–5). The module opens for staff only after every step of the guide is settled.
Contents
1. How do I open the Career Development module?
Career Development › Dashboard
Click Career Development in the left menu, then Dashboard. The dashboard shows the key figures: your credits, compliant teachers, trainings pending, portfolios awaiting a decision, certifications expiring, sessions starting and the inspectorate (ISJ) reporting window.
Each section of the module has a ? button at the top right. It opens the module's Help Center, with explanations for the page you are on. The Help Center also opens from the left menu.
Tip: on first access, the module shows its video tutorial and invites you to go through the Setup Guide. You can return to the guide at any time from Settings › Setup Guide.
2. How do I set up the module with the Setup Guide?
Career Development › Settings › Setup Guide
The guide has 8 steps. On the left you see the steps and the status of each (Read, Configured and so on). You can leave at any time; your progress is kept.
In the Features step, choose which sections the school uses: Trainings, Programmes, Certifications, Appraisal, Observations, Development plan, Reports and Procedure. A section switched off is hidden for everyone, whatever their role.
In the Roles step, click Create the standard roles. This creates the administering role (Director) and the default role for teachers (Profesor), with the usual permissions. You can rename and adjust them at any time.
In the Users step you see who already holds a role in the module. An account with no role sees nothing in the module. Click Assign Profesor next to the people who should have access.
The Legal thresholds step shows the values from the methodology: 15 ECTS credits per cycle, a 5-year cycle, 6 CPT for one ECTS credit, an accredited programme at least every 2 years, the inspectorate reporting window, certification deadlines and appraisal grade thresholds. Most schools don't need to change anything here.
In the Evaluation grids step, click Generate the standard form for each staff category. The grid holds the domains and criteria of the annual appraisal, 100 points in total. Teaching staff always needs one; the other categories are required only if you have people in them.
In the Procedure step, answer a few questions (how portfolios are kept, how often they are updated, who coordinates them, how many years they are kept), then click Save the answers. The module drafts the document for you.
At the end, the last step confirms that every configuration step is settled. Open configuration takes you to Administration, where you can change the settings at any time.
Note! The module opens for staff only after every step of the guide is settled.
3. How do I change the module settings?
Career Development › Settings › Administration
In Features, switch the module sections on or off, then click Save. In Custom fields you can add extra fields to the forms (for example, to portfolio documents) if the school tracks more than the methodology asks for.
On the right, Configuration in force shows the values the school actually uses (credits, deadlines, appraisal thresholds, the career development allowance).
Note! Change the thresholds only if the school has a derogation from the methodology.
4. How do I assign roles and permissions?
Career Development › Settings › Users & Roles
All staff added in Kinderpedia appear automatically in the Users tab. The Kinderpedia role does not limit the roles you can give here. To give a role, click Assign next to the person.
Tick the role or roles you want and click Save. Several roles add up: a second role can only widen access.
The Roles tab shows the roles, how many people hold each one and how many permissions it has. Click Edit to change a role, or Add role for a new one.
Choose the role's Staff category (Teaching staff, Auxiliary teaching staff or Management staff). It decides the required portfolio documents and the appraisal grid. Turn on Default role if the role should be given automatically to anyone who has no role.
In the Permissions tab, tick or untick what each role can do, section by section (Dashboard, Credits, Trainings, Portfolio, Certifications and so on). Changes are saved automatically. Permissions marked always on cannot be switched off; those marked other people's data give access to colleagues' data.
Note! A role can only grant what Kinderpedia already allows. If a ticked permission has no effect, check the person's access level in Kinderpedia.
5. How do I draft the internal portfolio procedure?
Career Development › Settings › Procedure
Every school must have a written procedure for professional portfolios. Fill in the Questionnaire (how portfolios are kept, how often they are updated, who coordinates them, how many years they are kept, access rules, archiving). Anything left blank gets a standard wording.
The generated document appears below, under The document. You can change it directly with Edit the text, download it with Export (PDF) or rebuild it from the answers with Redraft from answers.
6. How do I add documents to the professional portfolio?
Career Development › Portfolios › Portfolio
The portfolio has the five sections required by law, from a) Personal and professional identification data to e) Career progression and professional development. Click a section to see its documents, then click Add document.
The New document form has three steps. In the Which document step, type the Document name and choose the Section.
In the Filing step, optionally fill in the Document type and Tags (comma separated).
In the File step, upload the file (PDF, image or Word, up to 10 MB) or pick one already uploaded with Choose from library. Then click Save document.
Tip: the upload date is set automatically on save and cannot be changed afterwards. The same library file can be used in several sections without uploading it again.
For the portfolio to be submitted to the school, the Declaration of authenticity must be signed. Click Sign the declaration.
Type your full name as your signature (it must match the name on your account) and click Sign.
Click a document to see its details. You can Enlarge, Download, Edit or Remove it. Below, the Index is generated automatically, in chronological order, with each document's upload date.
To download the portfolio, click Export and choose The portfolio (PDF) or The files, archived (ZIP). A single section is downloaded with Export section.
7. How do I set up sections and required documents?
Career Development › Portfolios › Portfolio › gear icon
Click the gear icon at the top right. The menu has Upload several (several files at once), Library, Sections and Document types.
In Sections, administrators choose which sections the school uses (The school's sections), and each user chooses which sections appear on their screen (What I see).
In Document types you set which documents are required for each staff category. If the list is empty, generate the default list first. Then click the letter next to the document: D for teaching staff, A for auxiliary teaching staff, C for management staff. For example, to make the CV required for teachers, click D next to Curriculum vitae.
A new document type is added under New type, with a Suggested section, then Add.
8. How do I track training credits?
Career Development › Portfolios › Credits
The Credits page shows progress in the current continuous training cycle: ECTS credits earned against the required threshold, CPT credits, how many are still needed and Compliance (the credit threshold and the accredited programme every 2 years). How the total was reached breaks the credits down by source.
The credit cycle starts from the tenure (definitivat) date. If it is missing, click Edit details under My professional details, fill in the date, Teaching grade and Subject, then click Save.
Tip: under Documents › Download certificate (PDF) you get the certificate with the credits earned in the current cycle and the compliance status at the date of issue.
9. How do I see submitted portfolios?
Career Development › Portfolios › Submitted Portfolios
The people in charge see here the portfolios of all teachers for the school year: the sections filled in, the number of documents, how many required documents are missing and the state (Submitted, Approved, Rejected, Not submitted).
10. How do I add and validate a training?
Career Development › Training › Trainings
Each staff member uploads their completed trainings and follows their status. Trainings are split into Pending, Validated and Rejected. Click Add training.
In the What you completed step, fill in the Programme name, the Provider and the Programme type (Accredited programme, Approved programme or Complementary activity).
In the Credits and dates step, type the number of credits as printed on the certificate, choose the Credit unit (ECTS credits or CPT) and the period.
In the Certificate step, upload the certificate issued by the provider and click Submit for approval.
The training appears as Pending. It counts toward credits only after validation.
The professional development officer checks the details and the certificate and validates the training from the Pending list. After validation, the credits are added automatically to the person, in the right cycle and development plan, and CPT credits are converted automatically into ECTS credits (6 CPT = 1 ECTS).
Note! Nobody can validate their own training. Your own trainings must be validated by another officer.
11. How do I organise training programmes and cohorts?
Career Development › Training › Programs
The school can add its own programmes or programmes run with other institutions. The programme describes the offering (what is taught and for how many credits), and the cohort says when, where and with how many seats it runs. Click New programme.
Fill in the Programme title, the Provider and, optionally, a Description.
In Classification, choose the Category, Domain and Format. The category decides where the credits count and whether the programme counts as an accredited programme.
In Credits and cost, choose ECTS or CPT, the number of credits, the duration in hours and the price (0 for internal training at no cost), then click Save.
Then click New cohort. Choose the programme and give the cohort a name (for example, "Cohort 1 – autumn 2026").
In When it runs, fill in the start and end dates, the enrolment deadline (optional), the format and the location.
In Enrolment, type the number of seats (blank = no limit) and notes, then click Save.
The cohort appears in the Training cohorts tab, with the status Planned. Click ⋮ next to it.
From the menu, staff members can sign up themselves with Enrol. Administrators can see the Participants, Edit the cohort or Cancel cohort.
On the cohort page, Add participants lets you enrol colleagues directly (for example, from a paper list). The people you pick go straight to approved.
After the training, record each participant's attendance: Present, Partial or Absent.
12. How do I record staff certifications?
Career Development › Training › Certifications
This is where mandatory certifications are kept: first aid, hygiene course, child protection, medical clearance and psychological clearance. The figures at the top show how many are expired, expiring soon, valid and without a supporting document. Click Add certification.
Choose the Person and the Certification.
Fill in Issued by, Issue date and Valid for (months). The expiry date is calculated automatically.
In Proof, upload the scanned document and click Save. You can also save without a document, but the certification will be flagged as "no document" until you upload it.
The certification appears in the table, with its status and expiry date.
Tip: Inspection file (PDF) downloads the certification status for an inspection. Tick Only problems to see only certifications that are expired, expiring or without a document.
13. How do I fill in the annual self-assessment?
Career Development › Evaluation & Development › Evaluations
The annual appraisal starts with the self-assessment. After it is submitted, the form goes to the commission and then to the administrative board. Under My form, click Open a form (or Open my form if you have already started it). Below, you see the school's appraisal template for the current school year.
Type the score for each criterion in the Self column and, optionally, a remark. The total at the top shows your provisional score.
If you enter a score above the criterion's maximum, the system lowers it to the maximum allowed. Once all criteria are scored, click Submit self-assessment and the form starts its approval route.
Note! The Submit self-assessment button becomes active only after all criteria are scored.
14. How do I fill in a lesson observation form?
Career Development › Evaluation & Development › Observations
The people in charge record lesson observations and see all observations in the school. Click New observation.
Choose the teacher, then fill in the Date, Class / group, Subject and Lesson topic. Click Save.
The form opens as a Draft: only you see it. For each criterion choose the rating (Very good, Good, Satisfactory, Unsatisfactory) and add remarks.
At the end, fill in the Conclusions (Strengths, Areas to improve, Recommendations) and the Overall rating. Click Save to continue later or Share the form to send it.
Once shared, the observed teacher finds the form under Observations of my lessons and can acknowledge it.
15. How do I propose and agree a development plan?
Career Development › Evaluation & Development › Development Plan
Each teacher sets targets for the school year. In What I set out to do, fill in the Target ECTS credits, Teaching degree pursued, Training domains of interest and Objectives, then save the plan.
When the plan is ready, propose it to management. The plan can no longer be changed and waits for management's answer (Plan proposed).
Management sees the proposed plans under Colleagues' plans. They can agree the plan, or return it to make it editable again if they spot inconsistencies.
Tip: the credits of trainings validated in the school year are added automatically to the development plan, so you can see at any moment what percentage of the target you have reached.
16. How do I generate reports and the inspection dossier?
Career Development › Monitoring › Reports
Choose the report type: Credit register, Training records, Programme participation, Annual appraisals or Training needs analysis. Set the filters and click Generate. What you see on screen is exactly what downloads.
The report on screen is downloaded with Download CSV. Full PDF report downloads all reports, and Inspection dossier downloads a ZIP archive with all the documents needed for an inspection.
17. How do I see the activity log?
Career Development › Monitoring › Activity Log
The log shows every action in the module: who, what and when (documents added, trainings submitted and validated, plans proposed and so on). You can search by person and filter by date range, category and user. Export downloads the list. Click the eye icon next to a row.
The full history of that item opens, step by step, with the user and date of each action.
