AI Assistant. Complete guide

Turn on the AI Assistant and use it to generate, summarize and correct texts in Quick Messages, Incidents and Child Development.

Written by Marcel Bragari

The AI Assistant helps teachers and school staff write faster and more accurately. You write a few words about what you want to say, and the assistant turns them into a complete, polite text. It can also shorten a long text or correct grammar and punctuation.

The assistant works in three modules:

  • Quick Messages: when you write a new message or reply to a message;

  • Incidents and Accidents: it fills in the incident description and the measures automatically;

  • Child Development: in the observations and the next steps of an evaluation.

The module is turned off by default. An administrator turns it on and chooses in which modules, and for whom, the AI buttons appear. We recommend following the steps in order: first activation and settings (sections 1–3), then everyday use (sections 4–9).

Note! The AI Assistant suggests a text. It doesn't send or save it. Read the text before you click Send or Save. The assistant can add details you didn't write (see section 9).

1. How do I turn on the AI Assistant?

Center Management › Kinderpedia Modules

In the left menu, open Center Management and click Kinderpedia Modules. Type AI Assistant in the search field. The card shows the Add-on label and, at the bottom, the status switch. When the switch is green and shows Active, the module is on.

Click View details to open the module window. The Overview tab briefly explains what the assistant does. On the right you see Status, Category (School management), Designed for (Administrative, Teachers) and Plan (Add-on). You can also turn the module on or off from here.

Note! Only a school administrator can turn the module on and change its settings. AI Assistant is an Add-on module. If it isn't active in your school account, write to us in the chat.

2. How do I choose where the AI Assistant works?

Kinderpedia Modules › AI Assistant › Settings

On the module card, click Settings (or open View details and the Settings tab). The settings are grouped by module. Each module has a switch on the right that turns the assistant on or off for that module only.

Quick Messages has four groups of options:

  • Compose Message: the AI buttons appear when you write a new message;

  • Reply to Message (Available for Teachers): the AI buttons appear when teachers reply to a message;

  • Reply to Message (Available for Managers): the same, for managers;

  • Reply to Message (Available for Staff Members): the same, for staff members.

Under each ticked group, choose which buttons appear: Summarize Content, Generate Content and Correct Grammar. A function you don't tick doesn't appear in the editor.

Under Incidents and Accidents, the Create Incident option adds the AI buttons to the description step of a new report. Here too you choose between Summarize Content, Generate Content and Correct Grammar.

Under Child Development there are two groups: Evaluation Observations (the Observation field of an evaluation) and Evaluation Next Steps (the Next steps field), each with the three functions.

When you're done, click the green Save button. The message OK appears.

Tip: after saving the settings, reload the page (F5, or Cmd+R on a Mac). New AI buttons appear in the modules only after reloading.

3. How do I turn on the AI Assistant for replies too?

Kinderpedia Modules › AI Assistant › Settings › Quick Messages

By default, the assistant appears only when you write a new message. To make it appear when someone replies to a received message, tick Reply to Message for the user type you want: teachers, managers or staff members. When you tick the option, the three functions appear below it, already ticked. Untick the ones you don't want and click Save.

You can turn on AI replies for some roles only. For example, turn it on for managers, who often reply to parents, and leave it off for the rest of the staff.

4. What does each AI button do?

In the editors where the assistant is on, a bar with up to three buttons appears above the text field:

  • Generate with AI: turns a few words or a short note into a complete text, with a greeting and full sentences;

  • Summarize with AI: rewrites the text in the field shorter and clearer, keeping the important information;

  • Correct with AI: corrects spelling, grammar and punctuation, without changing the meaning.

All three buttons work on the text already in the field. Write a few words first, then click the button.

After the assistant changes the text, Undo (back to the previous text) and Redo (applies the undone change again) appear next to the buttons. This way you can compare your version with the suggested one.

5. How do I write a new message with the AI Assistant?

Quick Messages › Compose

Open Quick Messages from the left menu and click Compose. Above the text field you see Correct with AI, Generate with AI and Summarize with AI.

Compose new message window with the three AI buttons

Generate a message from a short note

Write briefly what you want to say. For example: “notice parents trip to botanical garden friday 14 november, leave 9:00, back 13:00, kids need packed lunch and water”. Click Generate with AI.

Short note in the message field, before Generate with AI

For a few seconds the field shows a loading animation. Then your text is replaced by a complete message: a greeting (“Dear Parents,”), the information from the note, the request and a thank-you at the end.

Message generated by AI, with the Undo and Redo buttons

If you don't like it, click Undo to go back to your note, or Generate with AI again for another version.

Shorten a long message

If the message is too long, click Summarize with AI. The assistant keeps the key information (date, times, what the children need to bring) and removes repeated sentences.

Correct mistakes

Wrote a message in a hurry, with typos? Click Correct with AI.

Message with typos, before correction

The assistant corrects the spelling (for example “tommorow” becomes “tomorrow” and “childs” becomes “children”) and the punctuation. Your wording stays the same.

Finally, fill in the Subject and the recipients, as for any message, and click Send. How to choose recipients is explained in Quick Messages: complete guide.

Replies with AI

Quick Messages › Inbox › message › Reply to all / Private reply

If the administrator turned on Reply to Message for your role (section 3), the same buttons appear when you reply to a message. Open the message, click Reply to all or Private reply, write a few words and use the AI buttons.

Reply to a message written with Generate with AI

Note! The assistant doesn't know who you are and who the recipient is. In the example above, the note “thanks for the message, we come back tomorrow with details about the schedule” became a reply in which the school seems to be waiting for the details from the parent. Read the reply and correct it before sending.

6. How does the AI Assistant fill in an incident report?

Incidents and Accidents › Add report › Step 3 Follow-Up

Open Incidents and Accidents and click Add report. Fill in Step 1 Details as usual (name, type, nature of the incident, students involved, responsible person, date and time, location, witnesses) and Step 2 Injuries, then click Next.

When you reach Step 3 Follow-Up, the assistant writes, based on the data from steps 1 and 2, a suggestion for Incident Description and one for Action to be taken / Measures. While it works, the fields show a loading animation.

Step 3 Follow-Up, while the AI Assistant writes the texts

After a few seconds both fields are filled in. Surnames are shown only with the initial (for example “Alexandru I.”, “Nina S.”). You can edit the text directly or use the Correct with AI, Generate with AI and Summarize with AI buttons above each field.

Incident Description and Measures filled in by the AI Assistant

Note! The suggested text may contain facts that didn't happen. In our test, the assistant wrote that the parents were informed, although this wasn't filled in anywhere. Delete anything that isn't true before clicking Save. If the report is visible to parents, they get a notification and can read it.

The full steps for an incident report are in Incidents and Accidents: complete guide.

7. How do I use the AI Assistant in Child Development?

Child Development › Observations and Evaluations › Add group evaluation › Step 3 Add comment

When you add an evaluation, in the last step (Add comment) the Observation and Next steps fields each have their own bar of AI buttons. Unlike incidents, here the assistant doesn't write anything on its own: you start it from the buttons.

The Observation and Next steps fields with the AI buttons

Write a short note in Observation about what you saw and click Generate with AI. The assistant turns it into a complete observation addressed to the parents. Then click Generate with AI in Next steps too. The assistant suggests the next steps based on the lesson and the chosen criterion (for example Expectations Met). Each field accepts up to 3,000 characters.

Observation and Next steps generated by the AI Assistant

Tip: check the language of the generated text. With a template in English, the assistant writes in English even if your note was in another language.

How to create evaluations is explained in Child Development: complete guide.

8. How do I use the AI Assistant in the mobile app?

Kinderpedia Teacher › Quick Messages › +

In the Kinderpedia Teacher app, open Quick Messages and tap the green + button to write a new message. When you tap the text field, a round, coloured button appears on the right. Write a few words and tap it. A menu opens with Generate with AI, Summarize with AI and Correct with AI.

The AI menu in the Kinderpedia Teacher app

Choose an option. After a few seconds, the text in the field is replaced by the suggested version. The Undo and Redo buttons above the keyboard take you back to the previous text.

If you leave the message without sending it, the app asks Are you sure you want to discard this message?. Choose Discard to delete it or Save draft to keep it.

9. What should I check before sending a text written with AI?

The AI Assistant writes texts that sound good, but it doesn't know what really happens in your school. Before you send or save a suggested text, check:

  • the facts: dates, times, places and names must be correct;

  • added details: delete anything you didn't say (for example “first aid was given”, “parents were informed”);

  • who is speaking to whom, especially in replies: the text must sound like a message from the school to the family;

  • the tone: it must suit the situation (an announcement, information about an incident, an observation about progress);

  • the language: the text must be in the language you use with the family.

Tip: the more precise your note, the better the suggested text. Put all the information that matters in the note: what, when, where, what the parents need to do.
