How do I configure the child schedule module? (set up price per age range and age ranges)

To begin the setup, first go to "Child Schedule" > "Configuration".

Now click on the "Edit config" button.

In the pop-up window, toggle "yes" under "Billing based on child schedule" and fill in all the necessary info based on your needs. You can even declare how much funding you will receive in case of subsidies from various sources. After filling in all the details, click on "SAVE" to save the changes.

If you are not billing based on the schedule and just want to set up schedules, you can skip this step.

Now you need to define attendance intervals, in the same page on the right you can find the defined ranges and you will see the "Add new interval" button. To define an interval, click on the "Add new interval" button.

In the pop-up window set a name for the interval and the starting/ending hour.

If you wish to edit or delete an existing interval, you will see the edit & delete button next to that interval.

If you enabled billing based on the child schedule, now you need to set the price per age range and attendance interval.

In the "Configuration" section, go to the "Plans by Age Range" tab on the top.

Click on the green button "Add new age interval" to define an interval.

In the pop-up window, define the start age interval and the end age interval + ratio.

You can not have overlapping ranges.

After defining the intervals, you will see the previously defined attendance ranges underneath an interval. Now for each age range, you can set a price for each attendance interval by checking the empty box next to the attendance interval and then set a price in the price field next to it.


How do I set a schedule for a child and a billing plan? where can I view the assigned schedules?

To view/set a child schedule, go to "Child Schedule" > "Children list".

Here you will find the student list and see what schedules they have assigned to them under the "Weekly plan" column. To create a schedule for a student, click on the "View schedule" button on the right.

The child schedule page will open and you can click on "Schedule this child" to define his schedule.

A pop-up window will open. In this window you need to set period for this schedule in the top left, then for each day you can click on the dropdown menu to set the attendance interval for that day and next to it a slider will show up to select the hours. When you are done, click on "Generate schedule".

Now you will see the generated schedule in the student's profile, to delete the schedule, click on "Reset schedule" and to edit it, click on the "Edit plan" button.

Now that the schedule is set, you can also set a billing plan if you bill based on the schedule. To do that, click on "Add billing plan".

Now you will go through the billing plan configuration which has 5 steps. In the first step you can set a name for the plan, the initial name is generated automatically based on the child's schedule. Contract value is optional, it's just for reporting reasons. If everything is ok, click on "Save".

In the second step, you will be able to set a price, the default price set is an estimated monthly price based on the weekly cost.

In the 3rd step you can set the issue frequency, the reference date for the pending invoices, if the billing period in the invoices will be for the next period (e.g. next 30 days if the frequency is monthly) or for the previous period and you can choose the billing company from which the issues will be issued. If you need to create/modify a billing company, click on the grey "Billing companies" button.

In the 4th step, you can choose to integrate the activities and events module, in case you have paid events/activities and you want them to show on the invoice. Simply check the boxes for the two options to enable them. You can set a separate issue frequency for events/activities if you click on the issue frequency option.

In step 5, you can add extra products on the invoice by entering a name for the product, unit of measurement, quantity and price. We have a more comprehensive guide at THIS link.


How can I view an FTE report or group planning report?

To view the group planning, go to "Child schedule" > "Groups Planning".

Here you can see the planning for all groups and their occupancy rate, using the filters on the top you can filter by age range, group, AM/PM split. After selecting the filter you need, click on the "filter" button to apply the filter.

To view the FTE report, go to "Child Schedule" > "FTE Report" or "FTE Monthly Report". Here you can filter the page in the same manner to view the report that suits your needs.
