How can I create and use custom fields for the school staff and families?

How can I create custom fields?

In order to define custom fields, you need to access "Center management" > "Custom fields" and click on the green "Add new attribute" button on upper right corner of the page.

Now you have to enter the field name, entity type, attribute type and a description with a mandatory check if you need (these last two are optional).

The entity type options are as following:

  • Child. Custom fields added for children are visible in the student profile that can be accessed via "Family management" > click on the student name and you can add info in the custom field by clicking on the green button modify. These fields are also visible in the Children report found under "Custom reporting" > "Children".

  • Class. This field will be visible in "Children Groups" > click on a group > click on "Settings" and it will be listed on the bottom of the page.

  • Parent. This field can be found in "Family management" after you click on on a family name to open the family member page and to add info to the custom field, click on the small crayon next to the family member type. The added info will be visible in the same box with the parent info in that page.

  • Medical file. Info for this entity type can be added if you go to "Family management" > click on a student's name to open his/her profile and go to the "Medical record" tab, then click on the green "add" button next to "Medical records" on the bottom and you will see the custom field in the pop-up window.

  • Events. When you create an event in the "Events" module, you will see the custom field on the bottom of the page and after you save the event, open it from the event list and you will see the custom field in the event details.

  • Teachers. Info in this custom field can be added if you go to "Center management" > "Staff management" > "Teachers" > click on the "Actions" button next to a teacher account and select "Edit", the field will be displayed underneath the teacher account details. You can view this custom field in the teacher list if you click on the "View" button and check the custom field and if you export the teacher list it will contain the field as well.

  • Institution administrators. This field can be found in "Center management" > "Staff management" > click on the "Actions" button for one of the staff members and you will see the field on the bottom of the page just like the one for teachers. And also just the one for teachers, in the staff member list you can click on the "View" button and enable that custom field so you can see it in the list and it will be exported alongside the other info if you export the staff member list.

The attribute types have the following options:

  • Simple Text: simple text of max 250 characters

  • Integer number: an integer number between -2147483647 and +2147483647

  • Real number: a real number with a maximum of 4 decimals

  • Long Text: a long text with a maximum of 65000 characters

  • Check Box

  • Select an option: dropdown menu with the options that you set, to add an option simply type option and press enter to add another one


How can I edit and deactivate custom fields?

To edit a custom field, access "Center management" > "Custom fields" and click on "Actions" > "Edit" next to the field that you want to edit.

Now just make the changes and click "Save".

If you want to deactivate a custom field, click on "Actions" and you will have two options: "Deactivate from now on" or "Deactivate forever".

If you choose "Deactivate from now on", info already added for this custom field will still be visible in the entity in which it was added but you won't be able to add further info.

if you choose "Deactivate forever" the custom field will be completely hidden.

You can reactivate attributes if you need by clicking on "Totally inactive" or "Inactive from" and selecting "Reactivate attribute".


Custom fields are only available on the WEB page and they are visible to the staff only, in the future we might update the mobile apps as well to show them, but for now they are available only on the WEB page.
